Generally, an organization has a set of standard processes in the form of a QMS (Quality Management System) or a Process Asset Library (PAL).
The entire organization is expected to adhere to the standard processes or SOPs as defined in the QMS or the PAL.
However, standard processes may need some tweaking, some small and some big too, when put into use by the projects.
The tweaking may range from pre-approved process tailoring to process deviations and exceptions requiring approvals and waivers, as depicted in the figure below.
Process Tailoring
Tailoring means selecting and customizing the selected standard processes in a pre-defined manner as per the “Tailoring Guidelines”.
It is recommended that tailoring requires approval at the level of a process group team member or no approval at all.
The approval in this scenario can be clubbed with the approval of the overall project plan.
Process Deviation
Deviation means modifying the standard processes beyond what is allowed to be tailored (as specified in the “Tailoring Guidelines”).
It is recommended that deviation cases are analyzed thoroughly at the level of a process group team member for their potential future impact on project delivery.
And finally, escalated upwards at the level of the process group head and delivery head for them to review and approve.
Approval in such cases should strictly be through and in the form of a formal waiver.
Process Exception
Exception means providing complete exemption from following a standard process.
It is recommended that exception cases are analyzed very thoroughly (much more thoroughly than the deviation cases) at the level of a process group team member for their potential future impact on project delivery.
They should then be escalated upwards at the level of the process group head and delivery head for them to review.
And finally, escalated further upwards at the level of the business head for her to review and approve.
Approval in such cases should strictly be through and in the form of a formal waiver.
