Data and Document Management

Effective management of business information (data and documents) is mandatory for organizations that wish to adopt certification standards and assessment frameworks.

In order to successfully “demonstrate” compliance to the stated and implied requirements of the adopted standard or framework, certain kind of data and documents are required to be made available.

In addition to the above, the data and documents created, obtained, used and stored by a business are important information assets that have significant influence on the overall effectiveness and efficiency of the business operations.

Data and Document Management includes the following activities within its scope:
1. Establishing the need for creating certain data or document
2. Creating the data or document from scratch or updating existing data or document
3. Trashing or destroying
4. Storing and securing
5. Managing access
6. Archiving
7. Change control
8. Base-lining and version control

Data and Documents could be of the following types:
1. Strategy and Roadmap – Business Plan, Implementation Roadmap, Certification Strategy, Sales and Marketing Analysis, etc.
2. Plans – Project Management Plan, Risk Management Plan, etc.
3. Standards – Coding Standards, Surface Treatment Standards, etc.
4. Technical Specifications – Software Design, Engineering Drawing, Version Information, etc.
5. Data Stored in Tools and Templates – Records in Employee Database, Raw Data in Data Collection Sheet, etc.
6. Communications and Reports – Weekly Status Reports, E-mail Approvals, etc.
7. Management Reports – MIS Dashboards, Executive Briefing

Data and Document could be in any of the following formats:
1. Proprietary formats such a MS-Excel, MS-Word, PDF, etc.
2. Image formats such as JPEG, TIFF, etc.
3. (Generally) Unstructured formats such as e-mails, scans of handwritten notes/drawings, etc.
4. Web-accessible formats such as XML, SOAP, etc.
5. As records in Relational Database (SQL Server, Oracle, etc.)
6. As objects in Object-Oriented Database
